AI receptionists
What does an AI receptionist cost? Real numbers from a real line.
By Zach Kemmer · September 29, 2026
An AI receptionist that we build costs $499 up front, plus call usage billed at cost, usually $10 to $30 a month. Booking into your calendar adds $399. On a real Pittsburgh salon line, two weeks of AI usage, 23 real conversations with 22 callers, came to $4.29. A human answering service runs about $250 to $2,100 a month.
The short version
- Build: $499 for a receptionist that answers every call, handles your common questions and texts you every message.
- Booking into Square or your calendar: +$399.
- Connecting your CRM or job software: +$299. A custom call flow: +$249. A second language: +$199.
- Running it: usage billed at cost, usually $10 to $30 a month.
- Keeping it sharp (optional): $99 a month for monthly tuning, or $199 a month for weekly tuning.
What one real line actually costs to run
We run an AI receptionist on Lost Sheep Salon's phone line in Pittsburgh. From September 14 to 28, she had 23 real conversations with 22 different callers. The AI usage for all of it was $4.29.
That number is the AI itself. The phone number and minutes add a little on top, which is why we quote $10 to $30 a month for a typical small business. A busier line costs more, but even busy lines rarely get near what a person costs for a single week.
Build it once, or rent it forever
There are two ways to buy an AI receptionist. Subscription services charge a monthly fee for as long as you use them, and the receptionist lives on their platform. The other way, the way we do it, is to build her for your business once and bill usage at cost. You pay once, and there's no monthly fee for her.
Neither is wrong. A subscription can make sense if you want to test the idea for a month. If you plan to keep one, owning her is almost always cheaper by the end of the first year.
What drives the price up
- Booking. Taking a message is simple. Checking live availability and booking the slot takes a real connection to your calendar.
- Your other software. Writing to a CRM or job system means one more connection to build and test.
- Complicated call flows. Intake questions, routing by service or location, and transfer rules each take design and testing.
- Languages and lines. A second language or a second location is its own setup.
When it's not worth it
If your phone rings three times a week, you don't need an AI receptionist. Forward it to your cell. If most of your calls need judgment, like medical triage or a complicated quote, she should route those calls, not answer them. The math works when calls come in while you're busy and the questions repeat.
The part that isn't math: you stop living by your phone
The numbers are only half of it. Without a receptionist, every ring is a decision: stop what you're doing, or risk losing a customer. So owners check their phone mid-appointment, step away from the dinner table, and keep one ear on it all weekend, jumping every time it buzzes.
When every business call is answered, that stops. You can let it ring, because the call is handled and you'll get a text if anything actually needs you. Brilyn, who owns the salon on this line, put it this way on her own Instagram: “A year ago, a Saturday like this would've meant answering client texts, checking the books, and messaging Airbnb guests from my phone the whole time. Today I was fully present … with my people. I'm not working less because I care less. I built systems, and AI now handles the admin that used to eat my weekends.”
That's hard to put a price on, but it's real, and for a lot of owners it's the reason they keep it.
How to check the math for your business
Take the number of calls you miss in a week and multiply by the share of those callers who would have become customers. Multiply that by what a new customer is worth to you. If that number beats $499 in the first month or two, it pays for itself. Our free AI audit runs this with your real numbers.
